Job Purpose

The Registration \& Prequalification Officer is responsible for managing all company registrations, vendor approvals, and prequalification submissions with major Oil \& Gas operators, government energy entities, and EPC main contractors across the UAE. This role ensures the company maintains active, compliant status on all relevant portals and vendor lists to support sustainable business growth and bidding capabilities for Max Generation Energy LLC.

Key Responsibilities:

Manage end\-to\-end registration, renewal, and maintenance of company profiles with key UAE energy entities (ADNOC Group, Borouge, TAQA, ENOC, etc.).

Prepare, compile, and submit comprehensive prequalification dossiers (technical, commercial, HSE, QA/QC) in strict compliance with client\-specific vendor approval requirements.

Liaise with auditors and internal finance teams to facilitate the annual ADNOC In\-Country Value (ICV) certification process and ensure portal updates.

Navigate and manage company profiles on energy\-specific e\-procurement platforms, primarily ADNOC SAP Ariba, Oracle, and client\-specific vendor portals.

Maintain a master, up\-to\-date repository of all critical O\&G compliance documents (Trade Licenses, ISO, API, HSE policies, audited financials).

Proactively monitor and track expiry dates of all registrations, ICV certificates, and approvals to prevent disruption to bidding activities.

Act as the primary liaison with client procurement departments, third\-party auditors, and internal departments to gather documentation and resolve queries.

Stay updated on new vendor registration opportunities, changes in ADNOC procurement policies, and emerging energy sector projects in the UAE.

Qualifications \& Experience:

Bachelor's degree in Business Administration, Marketing, Engineering, or a related field.

Experience in the energy, power generation, or industrial equipment sector is preferred.

Demonstrable, successful track record of managing ADNOC vendor registrations and navigating the SAP Ariba portal.

Willingness to travel for client visits \& Valid UAE driving license is a plus.

Skills \& Competencies:

In\-depth, practical knowledge of UAE Oil \& Gas vendor approval processes, prequalification questionnaires (PQQs), and compliance requirements.

Familiarity with the ADNOC ICV (In\-Country Value) program and certification requirements.

Strong understanding of O\&G\-specific HSE and QA/QC documentation (ISO standards, API specs, HSE case studies).

Excellent organizational, prioritization, and time\-management skills with the ability to handle multiple strict deadlines.

Advanced proficiency in MS Office Suite and document management systems.

Exceptional written and verbal communication skills in English; Arabic language proficiency is a strong advantage.

Working Conditions

Primarily office\-based with regular travel to customer sites, project locations, and industry events. May occasionally require work outside standard business hours to meet client and business needs.
