Job Scope
The Sales Coordinator will act as the pivotal liaison between the sales, operations, and back\-office teams to ensure seamless communication and operational efficiency. This role requires strong organizational skills, an understanding of sales and CRM systems (such as Oracle), and a proactive approach to after\-sales services. The ideal candidate will be responsible for ensuring the accuracy of sales orders, timely reporting, and excellent internal and client communication.
Key Responsibilities
- Efficient Sales and Operations Coordination
+ Facilitate seamless communication between sales, operations, and back\-office teams to ensure smooth operations.
+ Coordinate the flow of materials and information between departments, minimizing delays and optimizing production schedules.
- Accurate Sales Order and CRM Management
+ Input and manage sales orders in Oracle with precision, ensuring data accuracy and real\-time updates.
+ Maintain expertise in using Oracle for CRM management, tracking, and monitoring of sales activities.
- Effective After\-Sales Service and Client Communication
+ Manage and resolve after\-sales requests efficiently, ensuring timely follow\-up with clients and internal teams.
+ Proactively address customer concerns to enhance client satisfaction and foster long\-term relationships.
- Comprehensive Product and Asset Knowledge
+ Stay informed about the full range of company products and related assets.
+ Use product knowledge to assist the sales team, respond to client inquiries, and support internal reporting.
- Timely and Accurate Reporting
+ Prepare, organize, and deliver detailed sales reports to Heads of Departments (HODs) to support strategic decision\-making.
+ Ensure that data is accurate, relevant, and presented in a timely manner.
- Proficient Use of Sales Support Systems
+ Demonstrate advanced skills in Oracle (CRM) and Adtrack systems to effectively support sales activities and data management.
+ Regularly review and update system entries to ensure alignment with sales and production goals.
- Sales Forecasting and Pipeline Management
+ Collaborate with the sales team to provide accurate sales forecasts based on pipeline data and market analysis.
+ Assist in monitoring and analyzing sales trends to recommend strategies for improvement.
- Pre\-Sales Support and Client Engagement
+ Support the sales team in preparing proposals, presentations, and pre\-sales documentation to engage potential clients.
+ Work closely with clients to understand their requirements and align internal teams for smooth project execution.
- Continuous Process Improvement
+ Identify inefficiencies in sales and operations coordination processes and suggest actionable improvements.
+ Assist in the development of new procedures to enhance workflow, reduce errors, and increase overall team productivity.
Required Technical Skills
- Experience in using Oracle CRM is mandatory
- Minimum of 3 years of experience in sales coordination or support.
- Bachelor’s degree in Business Administration, Sales, or a related field.
- Excellent communication and interpersonal skills for building strong relationships with internal teams and clients.
- Customer\-centric approach to providing exceptional after\-sales service, fostering long\-term client relationships.
- Strong organizational skills for managing sales materials, documentation, order processing, and updating client/vendor databases.
- Proficiency in using software like Excel, Word, PowerPoint, and CRM systems (particularly Oracle and Adtrack) for data analysis, reporting, and sales management.
- Ability to manage multiple tasks, prioritize work efficiently, and adapt to a fast\-paced, evolving industry.
- Knowledge of the media/advertising industry, including rate cards, media kits, and industry\-specific jargon.
